The single highest-return hour in any renovation is the one spent writing down what you actually want. It is also the one almost nobody spends, which is why most owners end up comparing three quotations that describe three different projects.
## Structure it room by room
For each room, write three things: what stays, what goes, what is new. That framing forces decisions that a wish list lets you avoid.
Master bathroom
Stays: window position, door position
Goes: all tiles, all sanitary ware, existing waterproofing
New: walk-in shower where the bathtub is, wall-hung WC,
double vanity, floor and wall tile, ventilation fan
Ten rooms written like that is a scope of works. Every contractor prices the same thing and the quotes become genuinely comparable.
## Separate must-have from nice-to-have
Mark each line. When the first quotations come back above budget — and they will — you cut from the second list rather than renegotiating the whole job or, worse, letting the contractor quietly downgrade materials to hit your number.
## Be specific where it costs money
Sanitary ware, tiles, ironmongery, lighting and countertops carry enormous price ranges. Either name the brand and model, or state a supply allowance per item so every contractor prices the same allowance. A brief that says "quality tiles" will be priced by one contractor at the bottom of the market and another at the top.
## State what you are not asking for
Explicit exclusions prevent padding. If you are supplying the air-conditioning yourself, say so. If loose furniture is out of scope, say so.
## Include the constraints
Building age. Whether you will be living in the house. Access limitations. Management house rules if it is stratified. Your deadline and why it exists. These change how a job is programmed and priced, and a contractor who learns about them after quoting will reprice.
## Keep it as a living document
Every decision you make afterwards gets added to it. By the time you sign a contract, the brief becomes the specification attached to that contract — which means that when a dispute arises about what was included, there is a document rather than two memories.
